Job Description

Assystem are recruiting for an experienced Administrator Assistant to support our customers office in Inchinnan on a long-term contract basis. 

The job purpose will be to provide miscellaneous administration assistance to the clients delivery team.

Role Details: 

Job title: Administrator Assistant

Location: Inchinnan, Scotland  

Hours: 37 hours per week with flexible hours 

Duration: 12 months +    

Contract type: PAYE via Umbrella 


Key Accountabilities include but are not limited to: 

  • Arrange and promulgate programmes for external visitors to site and arrange for access to site.
  • Control and administration of diary appointments and meetings.
  • Establish contacts, produce letters, memos, e-mail, spreadsheets, databases and presentations as required
  • Arrange Site Induction & Security Brief for all new Staff as well as arranging for access to IT systems/training.
  • Occasional meeting secretary duties.
  • Management Review Meeting Secretary
  • Arrange duty travel and itineraries for team as required
  • Point of contact for Clarity Hire Car bookings. Fuel card administration.
  • Handling of incoming and outgoing hard copy mail. Logging/scanning documents received and returned.
  • Collation and distribution of Monthly Programme Meeting packs
  • Formal electronic letter distribution to addressees as required.
  • Act in accordance with the relevant policies on Health, Safety Environment, Quality and Equal Opportunities.


What we are looking for in applications:  

  • Previous experience supporting a technical engineering team is essential
  • Business software skills such as MS Office, SAP, COUPA
  • It would be desirable to have an HNC/HND in Business Administration to underpin experience 
  • Ability to work unsupervised with a proven ability to produce accurate work on time.
  • Proven record of communication and inter-personal skills.
  • Common office IT and Business specific Systems competence.


**Security clearance**  

This role requires the successful candidate to hold a minimum of a Security Check (SC) clearance without any caveats to that clearance. 

Due to the nature of work this role will be delivering and for the protection of certain assets, the successful candidate has to be a UK national or in MoD approved cases a Dual National from a non-ITAR country.
